To improve the accuracy of information and the speed of reporting serious injuries, the Serious Injury Reporting process has now been incorporated into the online Player Registration System currently operated by clubs/schools to manage their players and key club/schools contacts.

During the system development, the current paper based process was reviewed and improved with support from our medical team, AON insurance and the Community rugby department to ensure that all necessary data would be captured and processed accurately.

The key benefits of integrating the process into the Player Registration System are:

  • Accelerates the claims process for injured players,
  • Reduces the administration burden for clubs/schools and Scottish Rugby by significantly reducing duplication of effort and by pre-populating elements of the player’s details already held on the registration system, 
  • Automates electronic delivery of insurance claims to AON (the insurers),
  • Provides a secure online record of injuries for each player, which can be used for player welfare,
  • Creates a central repository for statistical data for reporting.

Due to the nature of the personal data being processed, an updated Data Protection Act agreement for Clubs and Schools has been created (a copy of which is available here).

Serious Injury Reporting Process
If you wish to complete a Serious Injury Report, click the following URL , to access the Player Registration System:

You will be asked for a username and password.  If you do not have this, please contact your club/schools data manager to request this.

You will be asked for your name, your contact information and club to allow you to submit the form (this is mandatory). All other information is optional, however, ideally you should have the following information prior to submitting the form online:

  • Players name
  • Details of the injury e.g. date of injury, type of match, position playing whilst hurt, what type of tackle, where was the tackle from, was the player wearing any protection etc..
  • Details of the treatment e.g. pitch side treatment if any, admission/release dates from hospital, name of hospital, body parts affected etc…

Once you have completed inputting the form online, AON, Scottish Rugby and the club/school will receive an email with the serious injury form attached.  They may contact you if further information is required.
