AGM The AGM will be held
on Saturday 10th May, at the Scott Suite at Murrayfield Stadium.
You have to send a minimum of 1 delegate, and can send a
maximum of 3. If you wish to send more delegates please contact myself stating
how many and the reasons for sending additional delegates.
It is of paramount importance that your club attends the AGM in May, especially with the forthcoming decision on
Integration to be potentially taken next year. For attendance, the SWRU will
deduct 50% off your club's affiliation fees next season, a saving of over £40
if you are a full member club!

Focus
Group/Workshop
As another incentive for attendance, the SWRU have put together a series of focus
groups/workshops on the day of the AGM.
The focus groups will provide a forum for issues related to
the Senior Game, as well as the Youth Game.
There are two workshops provided this year. The first is on
publicity for your club, and another is provided on the different types of
volunteering positions there are in the SWRU, including the Executive
Board. More details of the focus groups
and workshops will be disseminated nearer the AGM.
Motions/Items for
Discussion
Any motions must be received 4 weeks prior to the AGM. For
this season, all motions for changes to
the SWRU Constitution must be received by the SWRU Secretary by 11pm, 11th
April 2008.
In addition, we request that should your club want to raise
any issues during "Items for Discussion" that you should submit them, prior to 25th
April 2008, to the SWRU Secretary as well. This will allow the SWRU to collate
any information required to answer your query.
Elections
Elections for officers onto the SWRU Executive Board are to
be held at the AGM. The election rules and nomination forms are attached to
this letter. The roles and responsibilities of each officer can be found on the
website. Note that there are a number of vacancies on the Board this season,
and they will be advertised in due course.
We would strongly ecourage you to speak to your club
members (and especially past players) to join the Executive Board. Next season
will be a crucial time heading into potential integration with the Scottish
Rugby Union, and we will require a full complement of volunteers on the Board.
